About us: AqVida is not your typical pharmaceutical company - we do things a lot differently. Sure, we develop, produce and sell important oncology products, but we do it in our own, uncomplicated way. For our team in Hamburg, we are looking for you as an organizational talent for office & communication (m/f/d) - the central contact person who, with coordination talent, improvisation skills and enjoyment of communication, ensures that everything runs smoothly for us.

What you can expect from us:

• Organization and reception:
• You are the first point of contact for our guests and take care of customer visits as well as the planning of trade fairs and congresses.
• You organize internal and external events – sometimes a workshop in the office, sometimes an event outside Hamburg.
• You manage the switchboard, handle emails and ensure that everyone feels welcome.
• Office Management:
• You have an overview of everything that keeps the office running: from processing mail and office supplies to coordinating cleaning and maintenance.
• You make sure that workplaces are well prepared for new colleagues and that safety measures are observed.
• Management Assistant:
• You support the management with organizational tasks.
• Business trips? You take care of the planning – including visa applications if necessary.
• Customer and marketing projects:
• You communicate with customers and partners and take care of gifts or marketing materials.
• Optional: If you have the desire and a knack for it, you can also let your creativity run wild with social media postings or intranet articles.

Your role with us: The focus of your work is on reception and organization - everything to do with customer visits, trade fairs/conferences and office management. You can help shape how your tasks are tailored to your desired number of hours per week.

What you should bring with you:

• You are a real organizational talent and love to coordinate things and react flexibly when things get urgent.
• “Improvisation” and “troubleshooter” are no foreign words to you (e.g. when a customer needs a visa three days before arrival).
• You are a team player, open and service-oriented – and you remain calm even in stressful moments.
• You are fluent in German and English. Other languages? Would be cool, but not a must.
• You are familiar with MS Office and you find digital tools and technologies (e.g. AI) exciting.
• Ideally, you have a commercial education or experience in office management, reception or similar areas.
